Working with the Freelancer
Do freelancers work remotely or on-site?
Most freelancers work remotely, which is usually the fastest and easiest option to set up. Depending on your preferences and company policy, freelancers can also travel to your office occasionally, or work full-time on-site.
Who manages the freelancer?
You do. The freelancer works directly for your company and under your day-to-day direction on the project. European Health Economics Ltd acts as an intermediary connecting you with suitable freelancers and isn’t involved in managing their work.
Does a freelancer use our computers and emails, or their own?
This is your choice. Most companies require freelancers to use the company’s computers, email, and systems for security and compliance reasons. Others allow freelancers to use their own equipment and email.
Hiring and Contract
How does the process of hiring a freelance health economist work?
You start with an introduction call with Jari Kempers (Health Economist, PhD) to discuss your project and the expertise you need. After that, we sign a Master Service Agreement, which sets the framework for working together but doesn’t obligate you to hire. Next, you’ll receive CVs and rates for 1–3 experienced freelancers who fit your requirements and availability. You have interview calls with the freelancers you’re interested in and choose who you’d like to work with. Finally, when you’re ready to hire, we prepare the contracts and the freelancer starts on your assignment.
What is a Master Service Agreement?
The Master Service Agreement (MSA) is a framework contract between your company and European Health Economics Ltd. It sets out the general terms and intent for working together, but does not commit you to hire freelancers. Once the MSA is in place, we begin finding suitable freelancers for your assignments. When you’ve chosen the freelancer you want to work with, the individual assignment is formalised through a separate freelancer contract under the MSA.
Who is the freelancer contracted with?
The freelancer is contracted with European Health Economics Ltd. Your company signs a separate service agreement with European Health Economics Ltd, which covers the freelancer’s engagement on your project.
How long does it take to hire a freelancer?
Typically about a week after our initial discussion, though it also depends on how quickly you review CVs and conduct interviews. Projects requiring very specialised expertise may take a bit longer.
Is there a minimum or maximum period for hiring a freelancer?
There’s no minimum or maximum. Each assignment’s duration is agreed separately, from a few days to an ongoing engagement lasting several months, depending on what your project needs.
Can I hire a freelancer part-time?
Yes. Many projects only need part-time support, and we structure each assignment to match your project’s workload and schedule.
How do I end the contract with a freelancer?
You can end a freelance assignment if you no longer need the support or if the freelancer isn’t the right fit. The notice period is agreed for each assignment and usually ranges from a few days for short projects to a month for longer engagements.
Can I transfer a freelancer to a regular employment contract later?
Yes, it’s possible if both your company and the freelancer agree. This often happens when there’s a good match and both sides want to continue the cooperation on a permanent basis. A transfer fee applies.
Fees and Invoicing
What are the typical daily rates for health economist freelancers?
Rates vary depending on the freelancer’s experience, education, specific expertise, and the length of the assignment. When we introduce freelancers to you, we share their daily rates upfront for full transparency, and during our initial discussion we can give you an estimated fee range based on the type of freelancer your project requires.
How are freelancers paid, per day or per project?
Most of our freelancers work on a daily rate basis. Health economics projects are often complex and can evolve as they progress. Therefore, daily rates provide the flexibility needed for both you and the freelancer. Fixed-fee projects are used only in specific, clearly defined cases.
Who is responsible for taxes and social security contributions for freelancers?
Freelancers are independent contractors of European Health Economics Ltd and are not your employees. They are responsible for reporting and paying their own taxes, social security contributions, pensions, and any other legal obligations in their country of residence.
Can I set a maximum limit to the cost of a freelancer?
Yes. Many clients agree with the freelancer on a maximum number of days for each project phase or the whole project, and freelancers report their worked days to you monthly so you can track costs as you go. If the limit is reached, progress is reviewed and next steps are agreed before continuing.
How is billing handled for freelance work?
Freelance work is billed monthly. At the end of each month, the freelancer submits their timesheet to their manager for approval. The manager reviews and approves it within five working days. After approval, European Health Economics Ltd sends an invoice to your accounts payable team, with payment due within two weeks.
Confidentiality and Insurance
How is confidentiality ensured when working with a freelancer?
Freelancers sign a Non-Disclosure Agreement (NDA) with your organisation before starting any assignment. This ensures confidentiality during and after the project.
Do the freelancers have professional liability insurance?
Yes. As independent contractors, freelancers arrange their own professional liability insurance, and their assignment contracts require them to maintain it for the duration of the project.
